User and Role Management

Control who can access your Vendex account by navigating to Team > Admins.

Adding Team Members:

  1. Click "+ Invite Admin"

  2. Enter details: Full name, Email address, Admin role (dropdown)

  3. Click "Send Invitation"

Role
Permissions

Owner

Full access: dashboard, orders, invoices, payments, financials, customers, documents, integrations, API keys, webhooks, users, billing, settings

Manager

Create/edit orders, create/send invoices, manage customers, upload documents. Cannot access integrations, API, billing, or settings.

Finance

View dashboard, create/send invoices, record payments, view financials. Cannot create orders, manage customers, or access integrations.

Activity Logs

Track all actions taken within your account by navigating to Team > Activity Logs.

Log information includes date and time (timestamp), admin name who performed action, action description, affected resources (invoices, customers, orders), and result (Success, Failed).

Filter by date range, admin name, action type, or status. Export logs for audit or compliance by applying desired filters, clicking 'Export Logs', and selecting format (CSV, PDF). Activity logs retained for 2 years.

Business Profile Settings

Navigate to Settings > Profile to update:

  • Enterprise Profile: Logo, enterprise name, Enterprise ID (read-only), phone number, TIN, complete postal address

  • Admin Profile: Full name, email address, phone number, profile picture

  • Notification Preferences: Email notifications (On/Off), SMS notifications (On/Off), types: invoice sent confirmations, payment received, overdue reminders, FIRS transmission status, system updates, security alerts

Security Settings

Password Management

Navigate to Settings > Security and click 'Change Password'. Enter current password, new password (min 8 characters), confirm new password, and click 'Update Password'.

Two-Factor Authentication (2FA)

Add extra security layer by enabling 2FA in Settings > Security. Scan QR code with authenticator app, enter verification code, and save backup codes. 2FA now required at login.

Session Management

View active sessions showing device type, IP address, location, and last activity time. Click 'Sign Out' next to any session to revoke access from that device.
